Checklist for Accepting Insurance

1. Understand Insurance Types

  • Familiarize with Insurance Types: Learn about different types of insurance plans (e.g., PPO, HMO, Medicare, Medicaid).
  • Determine which Insurance to Accept: Decide which insurance plans align with your practice's goals and patient demographics.

2. Credentialing Process

  • Obtain an NPI Number: If you haven’t already, apply for a National Provider Identifier (NPI) number through the National Plan and Provider Enumeration System (NPPES).
  • Register with CAQH: Set up and maintain an up-to-date profile with the Council for Affordable Quality Healthcare (CAQH) Universal Provider Datasource.
  • Prepare Required Documentation:
    • Medical license
    • Board certification
    • DEA registration
    • Malpractice insurance
    • Curriculum vitae (CV)
    • Practice details (address, phone number, Tax ID)

3. Apply for Insurance Panel Enrollment

  • Research Insurance Panels: Identify insurance companies you wish to join (e.g., Blue Cross Blue Shield, Aetna, Cigna).
  • Submit Applications: Complete and submit credentialing applications for each insurance panel.
  • Follow Up: Regularly follow up with insurance companies to ensure applications are processed efficiently.

4. Establish Billing and Coding Procedures

  • Hire Experienced Staff: Employ certified medical coders and billers or outsource to a billing company.
  • Select Billing Software: Choose billing software that integrates with your EHR system and supports your practice’s needs.
  • Set Up Compliance Measures: Ensure billing practices comply with regulations to avoid fraud and abuse penalties.

5. Negotiate Contracts

  • Review Contract Terms: Carefully review contract terms with each insurance company.
  • Negotiate Reimbursement Rates: Negotiate for favorable reimbursement rates where possible.
  • Legal Review: Consider having a healthcare attorney review contracts before signing.

6. Implement EHR and Practice Management Systems

  • Choose an EHR System: Select an EHR that supports billing functions and integrates with your practice management system. Consider options like Epic, Athenahealth, or eClinicalWorks.
  • Set Up Practice Management Software: Implement a system to manage appointments, billing, and patient records efficiently.

7. Train Staff

  • Billing and Coding Training: Provide training for staff on coding standards (e.g., ICD-10, CPT) and billing procedures.
  • Insurance Verification Process: Train staff to verify patient insurance coverage and benefits before appointments.

8. Set Up Payment Processing

  • Merchant Account: Set up a merchant account to process insurance payments and patient copays.
  • Payment Policies: Establish clear payment policies for copays, deductibles, and balances.

9. Communicate with Patients

  • Inform Patients: Notify patients about which insurance plans your practice accepts.
